A note on this page. It is a summary written for readability. It is not legal advice, and it does not replace the law where you live.

In short

  • We collect what you give us: your name, contact details and what you tell us about your reviews.
  • We use it to reply to you, run your audit and do the work you ask for.
  • We do not sell or rent your information.
  • Google Analytics runs only if you accept it in the cookie box. If you reject it, nothing from Google loads. You can change your answer at any time from “Cookie settings” at the foot of every page.
  • We use no advertising cookies.
  • Messages typed into the chat assistant are processed by a third-party AI provider.
  • You can ask to see, correct or delete your information at any time. Email info@erasetrax.com.

Who we are

Erase Trax runs this website, erasetrax.com, and provides the services described on it. When this page says “we”, it means Erase Trax. We are responsible for the information described here, which data protection law calls being the “data controller”.

What we collect

Information you give us

  • When you ask for a free audit, we ask for your name, email address and phone number; the business and where its reviews are; which platforms are involved; what is happening; your trade; the market you work in; the size of the business; and anything you add in the note.
  • When you use the chat assistant, we receive what you type.
  • When you email, call or message us on WhatsApp, we receive what you send, including your number or email address.
  • If you become a client, we also hold what we need to do the work and to invoice you. That can include your business profile details and copies of the reviews we assess.

Information collected automatically

  • Like most websites, the server that hosts this site keeps standard logs. They record the IP address, browser and device type, the pages requested and the time. We use them to keep the site running and secure.
  • The chat assistant counts requests per IP address for one minute to stop abuse. The count is held in memory only and is not kept.
  • The server looks up the country of each visitor's IP address, in a database kept on our own server, to decide whether this site is offered in that region. Nothing is sent to anyone for this and the result is not stored. IP to country data by DB-IP, licensed under CC BY 4.0.
  • If you accept analytics cookies, Google Analytics records how the site is used: the pages you visit, how you arrived, roughly where you are, and the type of device and browser. If you do not accept, none of this is collected. See Cookies and browser storage.
  • We do not run advertising trackers on this site.

How we use it

  • To reply to your inquiry and run your audit.
  • To do the work you ask for, and to invoice you for verified removals.
  • To keep the site secure and working.
  • To improve the site and our services, including, if you accept analytics cookies, by seeing which pages people find useful.
  • To tell you about our services now and then, if you have asked us to or we have worked together. You can opt out at any time by replying or emailing us.
  • To meet legal obligations, such as keeping financial records.

Where the law asks us to name a legal basis for this, it is one of: performing a contract with you, or taking steps before one; our legitimate interest in running and protecting the business; your consent, where we ask for it; and complying with the law.

The chat assistant

The chat on this site is automated. When you send a message, it goes to our server, which passes it to a third-party AI provider to generate the reply. The last six turns of the conversation are sent with each message so the assistant has context. The provider, currently Groq, Inc. (United States), handles your message under its own terms.

We do not save chat conversations in your browser. When you close the page, they are gone. Our server does not store the messages; it only records that an error happened, if one does.

Do not type anything into the chat that you would not put in an email to a stranger. If you want to discuss your case, use the audit form or email us.

Cookies and browser storage

Analytics cookies: only if you say yes

We use Google Analytics, loaded through Google Tag Manager, to count visits and see which pages are useful. It is switched off until you choose. When you first visit, a small box asks whether we may use analytics cookies, with two equal buttons: Accept and Reject.

  • If you accept, Google Analytics loads and sets its cookies, named_ga and _ga_ followed by an ID. They let Google tell one visit from the next. Google receives what is described under “Information collected automatically” above, and handles it under its own privacy policy.
  • If you reject, or do not answer, nothing from Google is loaded and no analytics cookie is set.
  • We do not use advertising cookies, and we tell Google not to use this data for advertising.

Changing your mind

Choose “Cookie settings” at the foot of any page, or use the button below, and pick again. If you withdraw a yes, Google Analytics stops at once and we delete its cookies from your browser. We ask again after twelve months.

Settings kept in your browser

Two small settings are kept in your browser’s storage. Neither holds personal information, and neither is sent to us:

  • et-theme: your choice of light or dark theme.
  • et-consent: your answer in the cookie box and the date you gave it, so we do not ask on every page.

You can clear both in your browser settings at any time.

Links to other sites, such as WhatsApp or a review platform, take you to sites with their own cookies and their own policies.

Who we share it with

We do not sell or rent your personal information. We share it only:

  • With the companies that help us run the business: the host of this site (Vercel), our email provider (Resend, which delivers form messages to our inbox), the AI provider behind the chat (Groq), our payment processor (named on your invoice), and, if you accept analytics cookies, Google for Google Analytics. They may use it only to do that work for us, and each has its own privacy policy.
  • With review platforms, when you ask us to handle a review for you: usually the review itself and enough about the business to show we are entitled to raise it.
  • When the law requires it, or to protect our rights or someone’s safety.

Where it is processed

We work with businesses in the United States, United Kingdom, Canada, Australia and the United Arab Emirates, and our team and providers are not all in one country. Your information may be stored or handled outside the country you live in. Analytics data, if you accept it, is processed by Google, and the site host (Vercel), the email provider (Resend) and the chat provider (Groq) may handle data in the United States. Where the law requires safeguards for that, we put them in place.

How long we keep it

We keep your information only for as long as we need it for the reason we collected it, and then delete it.

  • If you get in touch and we do not end up working together, we keep the inquiry for a limited time and then delete it.
  • If you become a client, we keep your file while we are working together, and for a period afterwards in case you come back or a platform reopens a case.
  • Invoices and payment records are kept for as long as tax and accounting law requires.

How we protect it

The site is served over HTTPS, so what you send is encrypted on the way. Access to your information is limited to the people who need it to do the work. No system is completely secure, and we will not pretend otherwise, but we take reasonable care. If we discover a breach that affects you, we will tell you, and the regulator where the law requires it.

Your rights

Depending on where you live, you have the right to:

  • ask for a copy of the information we hold about you;
  • ask us to correct anything that is wrong;
  • ask us to delete it;
  • ask us to stop using it, or to limit how we use it;
  • object to us using it for marketing, and opt out at any time;
  • receive it in a form you can take elsewhere;
  • withdraw consent, where consent is what we rely on (for analytics cookies, use “Cookie settings” at the foot of any page);
  • complain to a data protection regulator.

We will not treat you any differently for using these rights.

How to make a request

Email info@erasetrax.com with “Privacy request” in the subject line and tell us what you would like us to do. We may ask you to confirm who you are first, so that we do not hand your information to someone else.

We will confirm that we have received your request, and respond in full within the time the law allows, and usually much sooner.

Children

This site is for businesses. It is not aimed at children, and we do not knowingly collect information about anyone under 18. If you think we have, email us and we will delete it.

Changes to this policy

When we change this policy, we post the new version here and update the date at the top of the page. The date tells you whether anything has changed since you last read it.
